Application description

We are seeking a diligent Finance and Administrative Assistant to support our financial operations and administrative functions. This role involves assisting the Managing Director with scheduling and travel arrangements, performing bookkeeping tasks, managing accounts payable and receivable, and preparing financial reports and tax returns. The ideal candidate will have a Bachelor's degree in accounting or finance, strong integrity, excellent communication skills, and proficiency in Kinyarwanda, English, and preferably French.

Responsibilities

  • Assist the Managing Director with calendar management, travel bookings, and appointments.

  • Perform bookkeeping and assist the Chief Accountant.

  • Handle debt collection and prepare monthly trade receivables reports.

  • Reconcile accounts payable and receivable.

  • Scan documents and invoices.

  • Prepare payables and requisitions.

  • Compile and analyze financial information to prepare entries to accounts, such as general ledger accounts, and document business transactions.

  • Compute all taxes and prepare tax returns.

  • Follow up on any pending issues regarding declared taxes.

  • Stay current on all tax laws and their implementation.

  • Regularly invoice clients.

  • Ensure financial data confidentiality and conduct monthly database backups.

  • Maintain financial files and support annual audits, keeping documents in a secure location.

  • Collect invoices/documents from different sites, clients, and partners for filing.

  • Take minutes at various meetings.

  • Coordinate and oversee company tendering and procurement activities.

  • Coordinate office activities and appointments for visitors.

  • Provide customer care for the company's clients and visitors.

  • Ensure the boardroom is prepared before meetings.

  • Manage inventories and assets.

  • Oversee fuel and vehicle management.

  • Follow up on public tenders published on the Umucyo system.

  • Support the Managing Director with administrative and human resources duties.

  • Handle petty cash and all supporting documents.

  • Perform other administrative activities and tasks as assigned by the Managing Director.

Quality and Competence Required:

  • Bachelor's degree in accounting or finance.

  • High moral standards and integrity/honesty.

  • Good attitude, ethics, and professionalism.

  • Good listening and communication skills.

  • Proficiency in Kinyarwanda, English, and preferably French.

  • Quick learner.

Contract Terms:

  • One-year contract renewable with a 3-month probation period.
