Position Overview
The Admin & Assistant HR Officer will be based at the company’s headquarters and will play a dual role: supporting HR functions across departments and providing integrated executive and office support. The ideal candidate is highly organized, trustworthy, and proactive, with excellent communication skills and a passion for service and efficiency.
Key Responsibilities:
Human Resource Support:
Support recruitment, onboarding, and orientation of new staff across departments.
Manage incoming applications, maintain a candidate backlog, and coordinate with recruiters.
Track recruitment status and interview progress.
Track attendance and maintain updated employee records.
Help organize training and maintain learning records.
Support performance evaluation processes, including check-ins, reminders, and performance improvement plans (PIPs).
Support employee engagement initiatives, welfare coordination, and leave tracking.
Coordinate morale-building activities such as quarterly birthday celebrations and employee of the quarter recognition.
Help promote a strong, inclusive staff culture by offering general morale support and consistent team engagement.
Executive & Office Support:
Manage and organize calendars, appointments, and meeting schedules for the key staff.
Prepare meeting agendas, take minutes, and ensure follow-ups are completed.
Draft and review internal communications and reports.
Maintain filing systems, records, and internal documentation with confidentiality and discretion.
Oversee day-to-day office operations and ensure availability of office resources.
Record, track, and manage office-related and executive expense reports, ensuring accuracy and timely submission.
Coordinate logistics and set-up for meetings, training, events, and internal communications.
Support reception duties, ensure the office is presentable, and handle printing, errands, and ad-hoc tasks as needed.
Manage administrative documentation, including contract management, deadlines, evaluations, and performance tracking.
Required Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field.
At least 1 years of experience in HR or administrative Role
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Demonstrated ability to work collaboratively across teams.
Strong problem-solving and decision-making capabilities

Compensation & Working Conditions
Paid Leave: Based on working schedule
Travel: The candidate will work primarily from the company’s offices at Plot G5, Kigali Special Economic Zone, Kigali, Rwanda
Duration: Seeking a minimum initial commitment of 6 months
Reporting: Candidates will report to the HR Manager and work collaboratively with other department heads and team members.
Expenses: Candidate shall be reimbursed for business-related airtime, transportation and other authorized business expenses
