We are seeking a highly organized, proactive, and versatile Management Assistant to support our leadership team and ensure smooth day-to-day operations in our innovative and impact-driven environment.

Job Summary

The Management Assistant will serve as a key support role, handling a wide range of administrative, financial, coordination, and operational tasks. This position requires someone who thrives in a startup setting juggling multiple responsibilities, anticipating needs, solving problems independently, and contributing to both office efficiency and company growth

Key Responsibilities:

  • Perform general administrative tasks including managing calendars, scheduling meetings, preparing agendas, taking minutes, organizing travel arrangements, and maintaining digital/physical filing systems.
  • Handle office management duties: oversee office supplies, coordinate facility maintenance, manage vendor relationships, organize company events/meetings, and ensure a productive and welcoming work environment.
  • Support project coordination for internal initiatives, cross-functional teams, university/employer partnerships, and platform development sprints track timelines, deliverables, action items, and follow-ups.
  • Manage invoicing, bookkeeping, and basic financial tasks: prepare and send client/partner invoices, track payments received, process expense reimbursements, reconcile basic accounts, assist with budget monitoring, and liaise with accountants/external auditors as needed.
  • Conduct light financial reporting and data entry in accounting tools or spreadsheets (e.g., tracking revenue from university partnerships, simulation subscriptions, or employer assessments).
  • Assist with document preparation, contracts, NDAs, reports, presentations, and correspondence.
  • Act as a point of contact for internal and external stakeholders (universities, employers, students, service providers).
  • Identify process improvements, anticipate team needs, and proactively solve operational bottlenecks.
  • Support ad-hoc executive requests and special projects that contribute to company scaling and impact.

Critical Skills & Qualifications

  • Proven basic finance and accounting skills, comfortable with invoicing, expense tracking, basic bookkeeping, reading financial summaries, and using tools like Excel/Google Sheets (QuickBooks, Xero, or similar experience is a plus).
  • Strong critical thinking & problem-solving mentality, ability to analyze situations, identify root causes, propose practical solutions, and make sound decisions with limited supervision.
  • Excellent project coordination abilities, experience tracking multiple projects, managing deadlines, using tools like Trello, Asana, Notion, or Google Workspace.
  • Proficiency in administrative tasks and office management, highly organized, detail-oriented, discreet, and able to prioritize in a fast-paced startup.
  • Hands-on experience with invoicing & bookkeeping processes
