Position Overview:

As a Front Desk Intern at Andersen in Rwanda, you will be the first point of contact for clients, partners, and visitors, playing a key role in shaping the organization's image and ensuring a welcoming and professional environment. This internship offers valuable exposure to administrative, client service, and office operations.

You will support the front office team, assist in basic invoicing, manage communications, and contribute to smooth daily operations The successful candidate will demonstrate strong interpersonal skills, a professional demeanour, and a foundation in general office and computer applications. This role offers a rich platform for learning and development, with opportunities to gain hands-on experience in administrative systems, event coordination, internal communications, and office technologies — equipping the intern with essential skills.

Key Responsibilities:

Front Office Support:

  • Greet and assist clients, visitors, and staff with professionalism and warmth.
  • Answer phone calls, respond to emails, and manage in-person inquiries promptly and courteously.
  • Maintain the reception area and meeting rooms in an organized, client-ready state.
  • Schedule appointments and manage meeting logistics in coordination with internal teams.

Administrative Support:

  • Assist with document preparation, filing, and database management.
  • Support the finance team in generating and managing basic invoices and receipts.
  • Facilitate the flow of communication across departments through various channels.
  • Contribute to inventory tracking and procurement coordination as needed.

Client and Guest Experience:

  • Deliver a positive, welcoming experience for all guests and stakeholders.
  • Coordinate meeting setups and hospitality arrangements.
  • Respond to general service requests and direct them to the appropriate personnel.

Logistics and Event Support:

  • Assist in organizing internal meetings, staff functions, and external events.
  • Support logistical arrangements, materials preparation, and follow-up communications.

Core Skills and Competencies:

  • Proficiency in Office Technologies: Strong command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to adapt quickly to new digital tools and platforms.

Details:

This is paid Internship and the candidate is expected to be in the office from Monday to Friday 9AM-5PM except on public holidays.
